Class Planner

The view is used to see the schedule in a time-grid format by rooms. Such a format allows you to see the occupancy of each room by days and hours — for two weeks ahead. This is convenient for monitoring room utilization, finding free slots, and planning new groups.

1. Access to the section

The section opens via the side menu “Schedule”.

After navigating, you need to select the display mode “Class Planner (Планер занятий)” on the right side of the top panel, in the drop-down list of view modes.

In this mode the schedule is displayed as a time grid: vertically — hours of the day, horizontally — dates for the next two weeks. Classes are grouped by rooms.

Top control panel

At the top of the page there are filtering and schedule management elements.

Here you can:

  • select a specific Teacher to see only their Classes and check their workload;
  • filter the schedule by rooms to avoid room overlaps;
  • specify the Class type;
  • select the Class format;
  • enable the display of archived Classes;
  • click the "+ Add" button to create a new Class.

These tools help quickly configure the display and work only with the necessary data.

Period navigation

Below the top panel are date control elements.

Navigation buttons:

  • ««» and «»» — move several periods forward or backward;
  • «‹» and «›» — move one period forward or backward;
  • “Today” — return to the current date.

Next to the buttons the current period is displayed — for example, “Apr 27 — May 10, 2026”.

Schedule grid

The main part of the page is a time grid divided by rooms.

Each room is shown as a separate block with the name and the number of Classes in parentheses. For example, “Mathematics Room”. The block can be collapsed or expanded by clicking the arrow to the left of the name.

Inside each room:

  • vertically there is a time scale with an hourly step;
  • horizontally — dates for the next two weeks with the day of the week and the number;
  • cells at the intersection of time and date show Classes as blue circles with a number — the number indicates the number of Students in the Class.

This format allows you to assess the occupancy of each room by days and hours, quickly find free time slots, check for room overlaps, and plan adding new groups.


3. Creating Classes

Adding new Classes is done in two ways.

Via the "+ Add" button

Click the "+ Add" button on the right side of the top panel. A drop-down menu with options will open:

  • Series of Classes;
  • 1 Class;
  • Trial lesson.

Via a grid cell

Click on any free cell in the schedule grid. A similar menu with creation options will open:

  • Series of Classes;
  • 1 Class;
  • Trial lesson;
  • Curriculum lesson.

Creating a series of Classes

When selecting “Series of Classes” a window “Add series of Classes” opens. It consists of three tabs: “General”, “Clients” and “Teachers”.

Tab “General”

Here the main parameters of the series of Classes are set:

  • selection of the Class;
  • days of the week and start and end times;
  • room;
  • schedule period.

You can enable the option “Individual schedule by days” — then an individual Class for a specific Student is created instead of a group series. An individual schedule by days is also available: for example, Mon 1:00 PM–2:00 PM, Wed 4:00 PM–5:00 PM.

After saving the system automatically creates Classes for the entire selected period and displays them in the planner.

Tab “Clients”

Add Students who will attend this series. Just start typing a name or phone number, then the system will suggest suitable options. After selection, the Student is assigned to the Class.

This affects:

  • attendance tracking;
  • deduction of Classes from a Membership;
  • generation of Finance reports;
  • accuracy of analytics.

If a Student is not added to the Class, the system does not count their participation — neither in attendance, nor in Payments, nor in statistics.

Tab “Teachers”

Assign the Teacher who will conduct the Classes within the selected series. After saving the data is immediately reflected in the system: Classes appear in the Teacher’s personal schedule, are counted in their workload, and are displayed when filtering by that Employee.

Adding 1 Class

When selecting “1 Class” a window “Add Class” opens. It also contains the tabs “General”, “Clients” and “Teachers”, but instead of days of the week and a period you specify a specific date. This format is convenient when you need to quickly add a single Class without creating a recurring series.

Adding a trial lesson

When selecting “Trial lesson” a side panel “New entry” opens on the right. You must fill in:

Main information

Lead — selected from the list (lead or existing client). 

Status — one of the options: successful deal, not sorted, unsuccessful deal, did not take place. 

Student data is also filled in: full name, phone number, date of birth, gender.

Block “Class”

Specify: Class, Teacher, visit time and date, Class price.

Additionally

In the “Comment” field you can leave additional information — for example, client wishes or important details for the administrator and Teacher.

After saving the trial lesson appears in the planner.

4. Viewing and editing a Class

Classes in the grid are shown as interactive blue circles with a number. When you click the circle the “Class details” panel opens.

The panel displays: 

  • Class name; 
  • room;   
  • days of the week; 
  • time;  
  • Teacher’s full name;  
  • list of Students with the number showing group occupancy.

This display allows you to quickly check the group composition, occupancy, and Class parameters without navigating to other sections.

At the top of the panel there are edit and delete buttons. Using them you can make changes to the Class parameters, adjust data, update the Student roster, or move the Class to another time.

Important to consider

  • Changing the time or room of a Class affects room occupancy and may lead to overlaps.
  • Deleting a Class removes it from attendance calculations and reports.
  • Assigning a Teacher affects their workload and display when filtering.
  • Time overlaps can cause conflicts by room or Employee.
