Classic schedule view

This section is used for planning and coordinating all Classes of the center. Groups and individual lessons are created here, Teachers are assigned, Students are added, and room occupancy is tracked.

Main blocks:

  1. Access to the Schedule
  2. Main interface elements
  3. Creating Classes
  4. Viewing and editing a Class

1. Access to the Schedule

The section is opened through the side menu “Schedule”.

After navigating, a calendar of Classes is displayed with the ability to switch the view mode: month, week, or day.

2. Main interface elements

Top control panel

The top part of the page is responsible for filtering and creating Classes.

Here you can:

  • select a specific Teacher to see only their Classes and check workload;
  • filter the schedule by rooms to avoid location conflicts;
  • specify the type and format of Classes;
  • enable display of archived (completed) Classes;
  • press “+ Add” to create a new series.

The panel helps quickly focus on the needed part of the schedule and check the center’s utilization.

Period navigation

Below are the date control elements.

Buttons:

  • “Prev” — move to the previous period,
  • “Next” — move to the next,
  • “Today” — return to the current date.

On the right, choose the display format:

  • Month — an overall view of utilization,
  • Week — more detailed planning,
  • Day — hourly breakdown.

The shorter the selected period, the higher the detail. This tool is used to analyze schedule density and plan new groups.

Calendar grid

The central part of the page contains a calendar with the schedule for the days of the week.

Each block shows:

  • time,
  • Class name,
  • additional information (for example, Teacher or group).

Color helps quickly distinguish different directions or groups.

The calendar allows you to:

  • see schedule density,
  • find free slots,
  • check time conflicts,
  • assess Teachers' and rooms' workload.

If a day is overloaded — consider redistributing Classes.

If there are free intervals — you can add new groups.

3. Creating a series of Classes

After clicking “+ Add” a window opens where you can choose the type of event to add:

  • Class ( add a series of Classes).
  • Trial lesson

Creating a series of Classes

When selecting “Class” the “Add a series of Classes” window opens.

It consists of three tabs: “General”, “Clients”, “Teachers”.

Tab “General”

Here the main parameters of the series of Classes are set:

  • select the Class;

  • days of the week;

  • start and end times;

  • room;

  • schedule effective period.

It consists of three tabs: “General”, “Clients”, and “Teachers”.

You can enable individual Class mode. In this case, a group series is not created, but a separate Class for a specific Student.

After saving, the system automatically creates Classes for the entire selected period and displays them in the calendar.

Tab “Clients”

In this tab, Students who will attend this series are added.

It is sufficient to start typing a name or phone number, then the system will suggest suitable options. After selection the Student is attached to the Class.

This affects:

  • attendance tracking;
  • deduction of Classes from a Membership;
  • generation of financial reports;
  • accuracy of analytics.

If a Student is not added to the Class, the system does not account for their participation — neither in Visits, nor in Payments, nor in statistics.

Tab “Teachers”

A Teacher is assigned who will conduct the Classes within the selected series. After saving, the data is immediately reflected in the system: Classes appear in the Teacher’s personal schedule, are counted in their workload, and are shown when filtering by this employee.

Correct assignment of a Teacher is important not only for calendar order but also for accurate workload planning. This helps avoid time conflicts, control employee utilization, and maintain an up-to-date overall schedule view.

Adding a trial lesson

If you choose the “Trial lesson” option, a side panel opens on the right for filling in data.

The following information must be specified.

Main information

  • Lead — selected from a list (Lead or existing client)
  • Status — one of the options: successful deal, unprocessed, unsuccessful deal, did not take place.
Also the Student’s data is filled in:
  • Full name
  • Phone
  • Date of birth
  • Gender

In the “Class” block the parameters of the trial lesson are specified:

  • Class
  • Time
  • Date of visit
Additionally

In the “Comment” field you can leave additional information — for example client wishes or important details for the administrator and Teacher.

After saving the trial lesson appears in the schedule.

4. Viewing and editing a Class

Any Class in the calendar is interactive. By clicking on a colored block the “Class details” panel opens. The panel displays:

  • Class name;
  • room (if specified);
  • days of the week;
  • time;
  • list of Teachers;
  • number of Students.

This allows you to quickly check the group composition, workload and parameters of a specific lesson without navigating to other sections.

At the top of the panel editing actions are available. Through them you can make changes to the Class parameters: adjust data, update the Student list or change other settings.

Important to consider

  • Changing the time or date of a Class affects attendance and deduction from Memberships.
  • Deleting a Class excludes it from attendance calculations and reports.
  • Assigning a Teacher affects their workload and display in filters.
  • Time conflicts can lead to room or employee scheduling conflicts.

In practice the schedule becomes the control point for all educational activity. Any change made immediately affects attendance, employee workload and management metrics.
