Altegio is about the slot and the specialist
Individual booking, widgets, resources, stock. That is the product's strong side.
Altegio is a popular platform for the service industry and online client booking. Umai CRM is a specialized system for learning centers: groups, memberships, teacher payroll, an AI bot in WhatsApp and Kaspi payments. We compare features, pricing and convenience for education business tasks.
The difference between Altegio and Umai is not about quality but about the business model each was designed for. Altegio describes the world of booking a service: client, specialist, slot, visit — and it does that very well, with flexible booking widgets, resource management, stock and dozens of integrations. A learning center works differently: a standing group with a roster, a membership spent by attendance that can be frozen, homework, a teacher's payslip with substitutions, and the parent as a separate role with their own portal.
Individual booking, widgets, resources, stock. That is the product's strong side.
Group roster, remaining classes, freezes, homework and grades, the teacher's payslip, the parent portal.
Do you run groups or slots? Answer that first — it settles the choice more reliably than any feature list.
How we counted →On the left, what happens. On the right, a live Umai screen — not a description of a feature.
A mother messages you on Saturday night. In Umai the conversation opens right inside the CRM: the AI bot answers on its own, knows the timetable and the open seats, books a trial class — and one tap on «Card» unfolds the lead beside it, with phone number, stage and owner.
Six months later, when that same mother comes back to renew, the whole conversation is in her card — not on the phone of an admin who has since left.
The amount is calculated from the classes actually paid for in the period — allowing for substitutions, co-teaching and days off. The teacher sees the same payslip in the mobile app, so there is nothing to argue about.
Seven calculation schemes: per class, per hour, a share of payments, a share of working days, per day, salary, and salary plus a share.
Three classes before it ends, a robot messages the parent on WhatsApp and assigns a task to the admin, while the student's card moves to the «up for renewal» stage on the client board. Nobody has to remember anything — the event happens by itself.
Eighteen such scenarios come ready out of the box and switch on in two clicks: trial reminder, first visit, missed class, overdue payment, birthday. No integrator required.
Not at month end after a reconciliation, but as a single number on the dashboard. For every debtor: the amount, the group and a «send a WhatsApp reminder» button. The debt appears by itself when a student attends a class and there is no payment.
The parent can clear it themselves: the portal and the mobile app show the remaining classes, the amount owed and a Kaspi QR payment.
Altegio is built for booking clients with specialists (beauty, fitness, healthcare). Umai CRM is purpose-built for learning centers with group classes, memberships and teacher payroll.
* Information about Altegio's capabilities comes from the official site and public sources as of the publication date. Some features may require integration with a third-party provider and a separate subscription.
The scenes above showed how it looks. Here are three things you only see over the long run: how the product is built, what the plan includes, and what the first year actually costs.
In a booking system the unit of work is the visit: a client picks a specialist and a time. In a learning center the unit is the group: twelve children come on Tuesdays and Thursdays for half a year, the roster changes, someone freezes their membership, someone moves to another group mid-course.
This is not «the same thing under a different name»: a group has a roster, a curriculum, a teacher, a room and its own economics.
A learning center's membership is not a voucher for N visits. It is spent by attendance but not by an excused absence; it freezes during illness; it has an expiry date; it can be refunded in part; it creates a debt if the student attends and there is no payment; and it renews under its own rules.
All of that logic is built into Umai, and both the money and the teacher's payslip depend on it.
In services the client and the payer are the same person. In a children's center the child studies, the parent pays, the parent reads the notifications, and sometimes the payer is a grandmother or a corporate client.
In Umai these are different roles with different portals and permissions: the student has their timetable and homework, the parent has payments, remaining classes, debt and notifications.
The subscription is only part of the spend. We count everything that lands in the budget.
We deliberately do not put a figure on Altegio: it depends on the number of staff, the licence term and the country. What is worth comparing is not the subscription but how much manual work is left on the teaching side.
* Altegio terms follow the official pricing page as of 20.09.2026. The cost is worked out by a calculator based on staff count and licence term, so we do not quote a specific figure. Check current terms with the vendor.
Three stories from different niches — what it was like before and what changed after.
«Our whole network of children's centers moved to Umai CRM — records, communication and payments are now in one place.»
«Before installing a CRM I studied and compared a lot of systems. Umai's main advantage is that every function we need is gathered in one system.»
«WhatsApp chats and automatic notifications took the load off our admins — more sign-ups, fewer missed classes.»
We'll help transfer your student database, groups, memberships and class balances.
We'll train your staff — launch in 1–2 days.
We look at how your records work today, which processes matter most, and agree a launch plan. A 30–40 minute call.
We move students, contacts, groups, memberships and remaining classes to an agreed structure. We check the numbers together with you.
We connect WhatsApp and Instagram, plus telephony and Kaspi payments if needed, so enquiries and payments land in the card straight away.
We walk admins, teachers and the owner through the scenarios, run a pilot on one group and lock in the working rules.
We agree on this in writing before we start — so there are no surprises on day two.
Conversation history — it depends on the source and on which service it ran through. We talk this through before we start.
IMPORTANT: migration, setup and training are part of the subscription — there is no separate implementation invoice. Exactly what we move over, and what you start fresh in Umai from launch day, we agree in writing beforehand.

Umai CRM is purpose-built for learning centers: groups, program-based schedule, attendance, memberships with freezes, teacher payroll by classes, tasks and robots, and on the AI plan — an AI bot that answers clients in WhatsApp on its own. Altegio is a service industry platform focused on individual client booking with specialists (beauty, fitness, healthcare).
Altegio supports group bookings, but its schedule is oriented around slots and booking with a specialist. In Umai CRM, the schedule is built around groups and learning programs — the teacher sees the whole class, membership balances and attendance in one place.
Altegio supports memberships and visit tracking. Membership freezes may require additional setup. In Umai CRM, freezes, absences and class balances are built-in features requiring no configuration.
Altegio calculates specialist commissions and rewards based on service cost — a model common for salons. In Umai CRM, teacher payroll is calculated by classes conducted, rates and student count — a model designed for learning centers.
Altegio supports chain management and data synchronization between locations. However, for certain learning center tasks (curricula, group scheduling, teacher payroll by classes) additional setup and adaptation may be needed.
Altegio supports messenger integration via third-party services. In Umai CRM, WhatsApp and Instagram conversations are built into the student/lead card — the manager sees the conversation history and funnel in one window.
Altegio is based in Hungary (Budapest) and stores data on European servers. Umai CRM stores data in Kazakhstan, which may be important for compliance with local personal data legislation.
Altegio allows exporting basic client information (names, phones, emails). The Umai team will help import data, set up groups and memberships and train staff. The entire migration usually takes 1–3 days.
Altegio pricing depends on the number of employees and starts from ~5,000 ₸/mo. Umai CRM — from 16,700 ₸/mo billed yearly, with free implementation, built-in support and learning center processes out of the box. When choosing, consider not just the subscription but also time spent adapting the system for education.
Yes, Umai CRM offers a free trial period. You can register, upload your student database and test all features on your learning center's real data.
Write to us on WhatsApp or leave your email — we will help you work it out and find the right fit.
Both systems work well in their niches. The question is — which niche is yours.
Your business is closer to the service industry, where clients book appointments with specialists at specific times.
We'll show Umai on your scenario: how we manage leads, calculate attendance and payroll, and which robots save admin time.
